The basic of AI and machine learning

The most important thing to understand is what Ai and machine learning is. The basic definition is that machine learning is a process through which a system can recognize patterns and predict future outcomes. That’s the basic idea of it. Imagine you have a black box. You first give it an input and you tell what the output is. Hence, you are training this black box. What happens next is it tries to identify patterns between the input and the output.

And once you’ve given it enough training data, you then ask it a question and ask it to give you an outcome and a probability for that outcome. And that is what machine learning is all about. Again, you don’t need to stress about anything. We’ll break everything down into steps in the next few minutes.

The first important thing to learn is going to be math. Math will be the foundation upon which you’ll build all of your learnings. The most important thing to learn in math will be calculus, differentiation, integration, understanding linear algebra, and lastly, probability. You need to have an intuitive idea of what these things really mean. 

First of all, you should understand integral calculus and differentials. You should understand how matrices really work and what the dot product of two matrices is. And at the end, you should understand probability. Probability is going to be very important as we move on because any result that a model gives is not a yes or no. It is a probability.

It will say that I think this photo looks like a dog; the probability of that is 0.95. I think this photo does not look like a dog; the probability for that is 0.98. All of this is straightforward. You can learn it from Three Blue One Brown’s videos on calculus as well as matrices and probability. Or you can go to Khan Academy or FreeCodeCamp, which has some amazing videos on mathematics.

The second step is to learn about Python. Now, Python is the most used programming language, I think, in this age after JavaScript maybe. And it’s super easy to learn. It’s similar to English. I learned it myself in 2019. I even taught Python to thousands of students back in 2020 and 2021 on an academy. It’s a straightforward language to learn. I taught it to school kids. If you’re in college, you can very simply learn it. Now, Tech with Tim has a great playlist which will give you the basic idea of Python.

Or you can also check out FreeCodeCamp’s tutorials on Python. But you need to understand the basics of this programming language because this is what you will use to build all the models. The first thing to learn is data types. Learn about if-else conditional statements. Learn about for loops. How can you create functions? And then learn about OOP concepts. 

And when you have all of these things figured out, try building some simple projects. Try just rebuilding some games and see how well can you do it. And you can even take a step further and learn about the different libraries that Python really has. And that will give you a basic idea of how do you use your knowledge of Python concepts and apply it into building something in the real world. Right? And that is super important.

So, once you have the basic idea of Python, again, you don’t need to know every single thing because I think learning in 2024 is a lot less about completing the entire textbook, knowing all the rules of the game. It’s more about understanding the basics, going about with it. If you face any difficulty, error, or something that you don’t know, Google it, Stack Exchange. You can also just ask ChatGPT for some answers. 

But most important is to learn the basics and then keep moving forward because what will happen is you’ll find it too hard to learn everything about Python. Python has just too many libraries, too many packages, too many applications. Don’t focus on all of that. Just understand the basics and keep your eye on the goal, which is to become an Ai and machine engineer.

The next step after learning Python is to learn about data analysis. And data analysis with Python is all about using three libraries. The first one is NumPy, the second one is Pandas, and the third one is Matplotlib. NumPy will basically help you with numbers. You will be storing all the data in arrays, and then you’ll have multi-dimensional arrays which will become matrices. And then you’ll be doing a lot of dot product of matrices to come up with answers.

Again, this will be relevant when you’ll be building the models, when you’ll be coming up with parameters, when you’ll be optimizing an equation. I’ll talk all about that later. But you will have to use NumPy arrays to do all of that. The second thing is Pandas. Pandas is a library which will basically help you with data which is in tabular form. Any data that you have stored in columns and rows, Pandas will help you get it sorted. And this is super important because any data set that you use or you make it

Deep Learning Ai and machine called the Machine Learning

In supervised learning, the data that we give to the model is labeled data. We are actually telling it that this photo is of a cat, and this photo is of a dog. In unsupervised learning, on the other hand, data is unlabeled. There’s no label on the data; the model can just tell that this is category A and this is category B. That is what unsupervised learning is all about.

The last thing is reinforcement learning. Reinforcement learning is all about creating an incentive for a character in a game or any environment, and then it learns how to optimize for that number. For example, if you have a character in a game, you create an incentive that when it walks towards the prize, it gains more points, and when it walks away from it, it will lose points.

Hence, you are basically training the model, telling it that it should move closer to the prize to increase its points. The goal of this game is to increase the points as much as possible. That is your reinforcement learning, and these are the three main types of machine learning models that you can create.

Now, there’s an amazing course on Coursera that you can take by Deep Learning Ai and machine called the Machine Learning Specialization. You can individually enroll and audit each of the three courses that are in that specialization for completely free, and you can learn about all of these basics. When you go through that, it is, I think, the most popular course in machine learning. Take that course and learn the basics of supervised learning, unsupervised learning, along with reinforcement learning.

In supervised learning, you have various types. You can either have regression problems or you can have a classification problem. Regression is the one in which you have some data and you have to predict future data, and in the case of classification, as the name suggests, you have to classify between two or three or more categories. You can create multiple types of models. Regression analysis can have logistic regression, then you have polynomial regression, then you have classification models.

Along with that, you also have something called K-nearest Neighbors, and all of these are going to help you predict something. They are all going to help you train that model. These are all approaches to solve a particular problem. You need to choose which one is the best, and when you go through different practices, when you try things out a lot, you will understand which model to use for which type of problem. That is essentially how it works.

In unsupervised learning, you have clustering, which is called K-means clustering. And then in reinforcement learning, there’s just one type, which I’ve already explained to you, in which you are optimizing for the number of points of that character.

Now, for reinforcement learning particularly, Tech with Tim on site has a tutorial, so go check that out, and you will learn exactly how to build it from scratch, and you will understand how can you incentivize a character which is the Flappy Bird to actually play the game on its own with the help of reinforcement learning. But basically, once you learn the different types, then you can start going deeper and building projects. The next step would be to practice as much as possible with the knowledge that you now have accomplished. You go to Kaggle and you start solving problems. They will have datasets; you take them and then you try to solve the problem that they have stated. There are very famous datasets like the Titanic dataset, the most clichéd one; you have CIFAR-10; you have MNIST; you have Fashion MNIST, and you can start applying all of your learnings on these datasets.

The Titanic dataset would have information about the passengers onboard Titanic, and you have to predict something. The second one, CIFAR-10, has random images of 10 different objects and animals. Now, MNIST is a collection of images which will be having numbers written in it, and you have to basically build a model that recognizes those digits. And lastly, we have Fashion MNIST, which is going to be clothes, so it should be able to identify: is this a jacket, is this a lower, is this a cap, is this a shoe, things like that. I hope you’re understanding what I’m saying.

Now, when you’re solving for MNIST or Fashion MNIST, you need to learn about something called neural networks, and that is where we start our journey into deep learning. Neural networks are a very interesting and fascinating concept. Just think of it like a layer of neurons in which you’ll be having inputs and outputs. You are having multiple inputs; you’re putting that through a black box which comprises a layer of neurons, and then you have an output. You are training this model to actually optimize and get the best result possible. And here is where you should learn about the concept of backpropagation.

The next step is for you to have multiple layers of neural networks, and that is deep neural networks, right? So, you would be having multiple layers; you would be having an input layer, an output layer, and multiple layers in the middle depending on how complex the problem is. The more random the situation is, the more layers you will need to effectively solve a problem, and that is essentially how it works.

You will also then have to learn about something called hyperparameters. You learn about keywords like learning rate, weights, and biases, and how do you manipulate these three numbers to get the optimal output, to get the best probability for the right output. That is how it works.

So, you will learn how do you use images and classify between images. See, an image is built up of pixels, and each pixel has an RGB value, red, green, and blue. This will be having three values on one pixel, and there can be, let’s just say, 1080 into 1920. Now, think of these pictures in a dataset which is labeled, so it says that this is a dog, this is a cat, and you’re feeding it into a neural network. Hence, you would basically create a neural network which looks sort of like this. And this is the idea of CNN, convolutional neural networks.

Again, what happens in between is the black box, and your model will try to understand the patterns and will optimize those weights and biases and learning rate and epochs and everything to come up with the accurate outcome. How to make woodworking plans or tips and tricks

I’ll tell you my process for making detailed full-color woodworking plans that I sell. I’ll let you in on some secrets and tell you how much money you can actually make doing that.

We basically focus on a concept called “shock greatness. Which means that I tend to build and highlight projects that make your shop or workshop better and more efficient. Part of that is making woodworking plans so that you can do it yourself. Now, making woodworking plans and selling them is not exactly a novel concept if you watch other making channels like mine; almost all of us do it. Why would you want to listen to me about making woodworking plans?

It sounds pretty simple. Well, to establish credibility and not to brag or gloat, I promise I have literally made tens of thousands of dollars selling woodworking plans on Etsy. And I don’t have hundreds of plans available. I have, I think, 11 or 12. I think there’s some value I can share with others on how to make woodworking plans or maybe how to improve your current woodworking plans so that you can sell them.

Now, even if you’re not going to go sell woodworking plans, I think there’s value in how I’ve figured out how to do this. Hopefully there’s something that you can take away. Now, here to keep it simple, I’m going to make a single drawer box from beginning all the way through to the build plans. Obviously, this is a short example, but the concepts are all the same. Alright, Let’s get down to business.

How do I make woodworking plans?

Well, as I’m planning any project, I always start with a pencil and a sheet of paper. For me, there’s just something about sketching with a pencil that kind of lets me wrap my head around exactly what I want to do. I kind of work outside in, so I look at the major dimensions. Maybe this thing has to fit within a space or, in the case of a drawer, it has to fit within an opening in a cabinet.

And then I work backwards from there. Okay, so I think about the joinery, I think about the materials, and from there, I usually have a pretty clear idea of how exactly I want to do this. Once I have that sketch, I then sit down at the computer and actually start 3D modeling. Now, this is the step that scares a lot of people. Whoa, 3D modeling. I mean, I get it, it’s intimidating. Two of the most common platforms for woodworking are SketchUp and Fusion 360.

SketchUp is okay, but if you had to start from scratch, I would urge you to go towards Fusion 360. And there are a couple of reasons why. Number one, it’s a heck of a lot more powerful. You can get away with doing very simple things on SketchUp, and for most people, that might be okay. But if you ever want to progress past simple woodworking projects or you want to divert into other technologies, Fusion is that direct insertion point. SketchUp kind of hits a brick wall.

And number two, Fusion 360 is backed by Autodesk, a major CAD software company, and they’re constantly putting out updates and improving the software. SketchUp, I really don’t know, to be honest, their background, but it’s not Autodesk. The natural first question I get is, “Okay, I’d love to use Fusion 360. How do I get started?” I always point people towards the Fusion 360 course by Kevin Kennedy.

Now, this is a paid course, it’s not free, but I’m telling you, you are getting your money’s worth. I’ve done 3D modeling for the past 10 years or so because of my career, so learning Fusion 360 was a much smaller learning curve for me. But learning from scratch, there are a lot of mistakes and bad habits that you can get into, which is going to cause a lot of heartache down the road.

By taking a course like Kevin’s, you’re going to start off on the right foot, you’re going to be efficient, you’re going to be quick, and you’re going to be much happier in the long run. Now, there’s a fundamental benefit to modeling in 3D for a woodworking project, and that is that you get to make all of your mistakes digitally.

I know I’m no different than any of you, but we’ve tried to wing projects before, and mistakes happen, and your project just ends up being kind of so-so. If you start instead with a 3D model and you get to build the whole project through and understand what you need to think about and think ahead for, it always seems to turn out a lot better.

And then, if you are going to make build plans, at least in my case, it is an absolute requirement, because I use the 3D model to create the illustrations that go into the build plan. For the drawer example, it consists of two sides, a front, a back, and a bottom. But we’re going to start by drawing the sides. Now, in this case, I’m making them out of 1 by 8 pine, and then I’m actually going to cut a rabbet at each end for the joinery.

Now, my sketch actually comes in handy here in understanding how these things need to fit together to get my final drawer dimension. But again, because you’re doing it digitally, you could fit it up one way and realize that you got your dimensions wrong, go back and tweak something, and then get it right. Once I’ve verified that my box is the right size, I can now add the bottom panel. Here you see a complete drawer.

This is where your 3D model comes in very handy, and specifically Fusion 360. I can actually orient my parts in a certain way that I want to show the customer, and then export that image with a transparent background, and then place them directly into my PowerPoint plans.

Now that we’ve got our drawer modeled, we can now move into making the plans themselves, because remember, we’ve made all our mistakes digitally. Now we can move on to the real world. Well, tedsplansdiy has a ton of classes. There’s some on the basics of Etsy, how to set up a successful store, how to optimize shipping, how to run ad campaigns. You get the picture. Now, what’s cool about Tedsplansdiy is although there is a tiny cost associated with a membership, there are no ads. So you don’t have to sit through one of these in one of those classes, and you can have multiple classes going on.

I’ve been a huge fan of LEGO ever since I was a kid, and for me, the gold standard for instructions is a LEGO instruction manual. They take something that’s pretty complex if you think about it and reduce it to a series of full-color pictures and symbols. I love the fact that there are no words; they can convey a very complicated task without having to explicitly tell me how to do it. This has been something that I’m trying to achieve. I am nowhere near there right now, but it’s where I want to get to.

To lay out my build plans, this is gonna sound weird, but I use PowerPoint. Yeah, you heard that right. Now, I will probably move away from PowerPoint in the near future into something a little bit more professional, but for now, PowerPoint actually works really well.

I’ve actually created a template on which I make all of my build plans, but the template basically just consists of some branding, maybe a version number, and finally, a page number. Everything else, of course, will be specific to the project.

The basic components of a successful woodworking plan

Now, the basic components of a successful woodworking plan, in my opinion, start with an initial disclaimer. Now, every one of my plans has one of these, and all it basically is saying is, “This is what you’re building. Here’s how big it is. If you want to make any changes, do that now.” Because the last thing you want is somebody to get through this project and realize, “Oh, it’s too big for my space.”

And I know that sounds dumb, but I think there’s value in doing that. In the case of my ultimate cabinet build, there are several configuration. I talk about that in the beginning. If you have limited space you need to work with and you need a smaller version of that, that’s where you get that information. You get what you need.

The first real section is a master material list. This includes everything that they will need to complete this project, including raw material like wood parts and even fasteners. What this does for you as a content creator is the opportunity to add affiliate links and make sure that they have exactly what they need and they don’t have to go digging for it.

The master material list is a master cut list

Following the master material list is a master cut list. Now, this is very important, especially for big projects, because you want to help them optimize their materials so they don’t have a bunch of waste at the end of this. It also helps them wrap their mind around how much this is going to cost and potentially how long it’s going to take.

Now, to build the cut sheets, I used to make them by hand, but I actually found a really great free resource called Cut List Optimizer. After the master material list and the master cut list, you can start into the meat of the plans. Now, for this example, we’re building one drawer box, so that’s the entirety of the plan.

But if you’re building, say, a cabinet with many drawers, you might first choose to build the cabinet and then move on to building the drawers. The first section would be just the cabinet carcass itself. It would have its own sub-material list and sub-cut sheet. I think there’s a ton of value in creating bite-sized chunks that people can tackle, especially on big projects.

In the plans themselves, I always start with secondary operations on the stock material, and on top of just describing what needs to be done, I like to include a couple of options on how they might do it. Because again, I don’t want to assume that everyone’s an expert. Here, I’ll say, although I used a palm router, you could also use a router table or a dado blade in your table saw.

And oh, by the way, for this particular case, if they’re setting up that router with that rabbeting bit and getting it dialed in, if there are any other rabbits in this project that require those dimensions, I like to mention it here. If you were building this, you would like to know that because you don’t want to go set this back up again. I like to include any warnings if possible.

In this case, there’s actually a couple of ways you can assemble the drawer box and end up with the wrong dimension drawer. Specifically, call that out and make it very obvious. I like to err on the side of caution in this case. You want them to have a good time building this; you don’t want them to get to the end and realize all their drawers are the wrong size.

Once the main instructions are done, I always like to follow it up with an index with some resources. Now, in my case, I usually do a build video to go along with the plan, I’ll link those videos directly. But this is also a good place to include things like tables or reference diagrams or maybe even some examples of tools that you found very useful during the build. From that PowerPoint file, we then create a PDF. The PDF just makes it universal so anybody can print it out.

Alright, so some last-minute takeaways to making successful woodworking plans that you can sell: visual is key, and in my opinion, I think color is better. Make sure you include upfront parts lists and cut sheets, as well as sub-parts lists and sub-cut sheets. Keep going back to thinking about how you would build it and what you would like to have if you were in their position.

Break the project up into logical steps; try and use text sparingly. I have not mastered this yet. I wish I was better at this, but I want to get to the point where mine have very little, if any, text. And that leads directly into the next one, and that’s keep it concise. Although I tend to err on the side of detail, there is a sweet spot, and nobody wants to download a thousand pages on how to make a bookcase.

There you have it. You have a build plan that you can distribute out to customers, you can charge people for, you can give it away for free, whatever you choose to do. And this is where the topic of your platform comes into play. I have sold all of my build plans on Etsy, and a lot of people ask me, “Why would you do that?” Most content creators and woodworkers sell them directly on their website, and there are absolutely pros to doing that.

I would argue that there are more pros by using a platform like Etsy. The biggest one is that you have a much bigger audience. I can attribute a significant amount of my sales coming from sources other than my YouTube channel. You just wouldn’t have that traffic on your little website. Now, the downsides of using a platform like Etsy is, of course, they take a fee of every single sale that you make. It ends up being a very small

Alright, you guys, let’s dive straight into it. Today, I’m expanding my series where I share specific examples of translation jobs that you can do, regardless of the niche you choose. These are jobs that can potentially make you a lot more money because they provide greater value to your customers. If you’ve watched my video on freelance pricing tips and strategies (which, by the way, if you haven’t watched, I’ll link it below), you’ll know that jobs directly impacting your customer’s business outcomes—either helping them make more money or save more—are the ones that truly pay off.

So, let’s get into the specifics of freelance translation jobs online. The first one I want to talk about is Amazon product listing translation. On platforms like Upwork, I’ve seen these translation jobs go for $25, $35, or even $45 an hour, depending on the language you specialize in. Naturally, there might be more competition for languages like English to Spanish or English to French, so you might need to adjust your price accordingly. However, if you specialize in less common languages like Polish, Italian, or Japanese, you can potentially earn a lot more.

For this type of translation jobs, having some marketing experience can be beneficial. This is one of the most popular options for translators due to the high volume of work they process, meaning that translators will rarely lack projects to work on. They are always looking for freelance translators to help them translate content from one language to another. Whether you’re a translator with experience or just starting out, Gengo is a great way to get started in the translation industry. Pro translators earn $80 for every thousand words translated.

Yet another stellar candidate for quality translation work is GetBlend. They have a rigorous application process for translators, but the higher quality of their output means that they can charge their clients more and subsequently pay their workers better. Before you work for them, you’ll need to send in your application, take an online interview test, and then send in relevant qualifications. Wherever you live and work from in the world, you’ll be able to access your pay once it is sent to you through PayPal, Payoneer, or wire transfer.

Acalero is an organization that offers business translation and localization services to its clients in over 60 languages spread out worldwide. Due to their wide global reach, they offer translation work to employees all over the world, as they will be the most familiar with their native languages. How to find translation jobs

If you’ve already started as a translator, you might as well sign up with all the platforms possible. However, I’ve changed my mind a bit in that regard because I do think that they actually have a negative effect on the profession, with price dumping, etc. However, specifically translation platforms like Proz.com or Translators Café – these are the two big ones – they’re very similar and are still very much in use.

You should definitely sign up with them as a first step. Many vendor managers from agencies do look on ProZ for new freelancers, so make sure your tagline on ProZ includes your language combination and your specialization, because that’s how vendor managers search for people. They type in their criteria, and then they get a big list, and you need to stand out somehow so they reach out to you.

Then there are other ways to use ProZ. Personally, I never actually go to the translation jobs directory and look for translation jobs. You can do that. I’m going to show you some screen recordings during the video. I never actually do that anymore. I used to in the beginning. Now I just have my criteria signed up on ProZ, and if someone uploads a job that fits my criteria, I get a job notification in my inbox. And it also regularly happens that people directly write to me through ProZ to my email.

Two additional platforms that I always recommend to people are Smartcat and Zingword. I found translation jobs on both of them, so just check them out. Another way to find agency clients is, of course, to find them directly, to reach out to them directly. There are endless possibilities to find agency clients. You can figure out one for yourself. If you’re very creative, you might be the only person that does this approach, and that’s the key.

I search for agencies on Google Maps, which worked out quite well in my career. I found several agency clients through that. One thing you want to focus on with agencies is finding the small, niche agencies. You can always work with the big ones, the big language service providers (LSPs) like RWS, Lionbridge, Transperfect, Welocalize, just to name a few.

They are huge, they have huge volumes and huge pools of translators. The problem is that they tend to not pay that well. Some rates are really horrendous sometimes, from what I see in Facebook groups. The more niche you go, the more you will earn, the more reward you will have. If you find an agency that is specialized in your language or in your specialization, that’s the jackpot.

Now one thing you can easily do today is go on LinkedIn, which, by the way, should be your number one marketing tool as a freelance translator. It’s amazing that the free version is so powerful. It’s not only great for visibility but for us translators also an amazing community building tool. The community of freelance translators on LinkedIn is so supportive and wholesome. It’s really cool. We all don’t have a team. This is our way of building a team around us.

Speaking of a team, actually also check out #TeamTranslator, which is a Slack channel made for freelance translators. It’s an amazing way to meet and network in a very chilled and relaxed form. If you’re not a very outgoing person, it’s an amazing way to do it. So check that out. I’m going to link it all down in the description if I don’t forget, hopefully.

On LinkedIn, you can look for hashtags like #xl8 or #LiTranslators for LinkedIn translators. Just look around, you will find content that’s relevant to you. Always make sure your LinkedIn profile is on point. I made a video a long time ago on that. You can click here, and there are many other videos as well. There are even people offering services for an effective LinkedIn profile.

And also use the LinkedIn translation jobs search. That’s very often overlooked for translators. Agencies do publish their jobs there, and also direct clients. Just look for “translation”, “freelance translator”, “German translator”, whatever your language is, and see if something is out there. For this exercise, I want to focus on finding the agencies themselves on LinkedIn. Up here in the search bar, just try typing “translation agency”.

Then up here, you can toggle and choose which one you want. You can go to companies. And then you will get a huge list of results with companies that have “translation agency” in their name. That’s already an amazing start. You can spend three days writing to all of these agencies. That’s already a start. I told you before, the key is consistency. You’re not going to reach out to 10 companies and then say, “Nothing worked for me.”

You’re going to reach out to 100, 150, 200, 300, and if still nothing works, then something is definitely wrong. Well, preferably you figure out what’s wrong before, maybe your marketing material, your CV is not good, etc. All of this can happen, and that’s definitely a different topic. There are videos on all of these topics on my channel, so just search for them when you’re on there.

Once you’re on the LinkedIn profile, you can already look for a website, for example. There is an email already. I usually like to go to people and see who actually works there. Amy, Joanna, Rhys, they are all PMs at Atlas apparently, so one approach that you could take would be to connect with them. Shoot them a quick message, ask them how it works, who the vendor manager is for them.

Another more creative, more innovative way to find agency clients is with generative AI. Use ChatGPT; it’s available to you as long as you don’t use it for security concerns, data breaches, etc. If you don’t use it for client work, then it’s all fine; you should make use of it. I use it as Google on steroids. It can give you amazing, comprehensive results. Name some niche translation agencies specialized in law and legal texts.

And now it just tells me how to find agencies, that’s not what I want. Now I need to specialize the prompt a bit. So I would say, that’s not what I’m looking for, I’m looking for actual names of boutique translation agencies in the legal sector. Yes, and now we’re looking a bit better. It gave me ALM, The Geo Group Corporation, and Morningside Translations. I don’t want them. But Morningside Translation actually offers legal translation services. Okay, I’m not aware of them, but it looks very legit. Legal document translation. That’s definitely a way to go.

On the website of the agency, you can usually look up how to reach out to them, how to get in touch with them. This leads now to Questel, so that seems to be the overall company. So it is again a big LSP, so maybe you want to probe ChatGPT a bit further to go more and more niche. There are 1500 professionals working together. You can join them if you want. You start very broad, then you go smaller and smaller, like a funnel. Until at the end, you have some kind of lead where you can reach out to a company. home

Part time virtual assistant jobs, or VAs for short, are a type of remote work where you, as an individual, provide administrative, creative, and possibly technical support to clients from a remote location. Virtual assistants provide a huge variety of tasks depending on the needs of your clients and your skills. It could be that you’re managing emails and schedules, conducting research, creating or managing social media accounts, writing blogs, creating graphics, and much more.

Here’s a pro tip, by the way: even though virtual assistants are considered freelancers or independent contractors, I want you to start day one by thinking of yourself as a CEO. Because when you commit to launching a virtual assistant business, you are launching a business, and you are, in essence, your own CEO, your own boss, the founder of your new company. So, if you want to take a little bit of an empowering pause, do so now and remind yourself that right now, day one as you’re launching your business, you’re a badass CEO.

Virtual assistance has become super popular in recent years, and I think it’s because more and more businesses and entrepreneurs are recognizing the benefits of outsourcing projects to remote workers like us. It offers them flexibility, cost savings, and gives them access to a global talent pool. Honestly, it’s a win-win for virtual assistants like us and clients because it allows us a chance to work with interesting clients and meet interesting people that we might not otherwise have had a chance to meet.

Let’s dive a little bit deeper. The term virtual assistance is a very broad term. I like to think of the term virtual assistants like an umbrella, and there are lots of different types of assistance that fall under this umbrella term. There are typically two broad categories that you’re going to fall into. On one hand, you can be a general virtual assistant. A general VA is somebody who provides a wide range of administrative-type tasks. So, think executive assistant, personal assistant. Typically, these are things like managing emails and calendars, conducting research, doing data entry.

Now, in contrast, a niche virtual assistant is someone who has specialized skills or knowledge in a particular area. A social media virtual assistant may specialize in managing social media accounts, creating content for social media platforms. An e-commerce virtual assistant may specialize in managing online stores and order fulfillments.

A bookkeeping virtual assistant may specialize in accounting and financial management. So, hopefully, you’re starting to see the difference here. A general VA has a more broad scope, offering lots of different administrative-type duties. And a specialized VA, while they do have the knowledge and the capability to offer those admin-type tasks, they also offer a specialized subset: bookkeeping, e-commerce, social media, etc.

VAs, by the way, are typically able to charge higher rates because they come with a specialized set of skills. Something to keep in mind before we talk about rates on day three. And most people start their career as virtual assistants as a general VA. In fact, I did too when I first launched my business in 2012. I really wasn’t sure if I wanted to niche in anything at all. Many virtual assistants enjoy a long and successful career as general VAs for their entire career.

I don’t want you to feel any pressure to choose a more specialized niche if you don’t feel particularly drawn to anything like bookkeeping or managing social media accounts. I really could not have said this better myself, but it is definitely better to get started than to get hung up on what you may or may not want to specialize in on day one.

So now that you have a few more details about the different types of virtual assistants, we’re going to spend the next lecture doing a skills assessment. Now, this is a hands-on exercise that will help you start to gather your thoughts around which category you might fall into.

So this exercise is meant to be simple, fun, and quick. I want you to think of it like an epic brainstorm to help you design a business that’s filled with services that you actually enjoy doing.

First, I want you to make a list of all the skills that you can possibly think of that you have. This can be a mix of hard skills – things like languages that you speak, technical skills like maybe you’re really good at Adobe Photoshop, maybe you’ve nailed Excel formulas – and I also want you to mix this in with some soft skills, like if you have strong written communication skills, problem-solving, or time management skills.

And I want you to draw inspiration from a lot of different areas in your life. Think about college days, especially if you’re a new graduate, first Part Time Virtual Assistant Jobs that you had, think about your previous job that you had if any, or if you’ve been a stay-at-home parent. There are so many hard and soft skills that you can apply to this brainstorm. Hit pause on this video now and spend the next few minutes getting all of those skills out of your brain and onto a piece of paper.

Okay, great Part Time Virtual Assistant Jobs! I hope that was fun; it was certainly intended to be. And next, I want you to ask yourself, of all the skills that you jotted down, can any of those be done remotely? If you have written any skills down that cannot be done remotely, I want you to cross those things out. This could be things like

Um, handwritten notes, scanning documents, accepting incoming calls on somebody’s behalf, or even running on-site errands—if you have anything in that realm that just cannot be done remotely or cannot be done on your client’s behalf, go ahead and cross those things out. So pause the video now, just take a few seconds.

If there’s anything that can’t be done remotely, exit off. Okay, your third step: look at the skills that you’ve written down, and I want you to ask yourself, which of those do you enjoy doing and/or are you passionate about? You have the golden opportunity to build a business that you actually like, so why would you offer services that you just hate doing? So if you’ve included any skills that you absolutely dread doing, cross those off your brainstorm list.

I’ll give you an example: I really, truly hate creating social media content for my clients’ social channels. I find creating content for other people to be tedious, time-consuming, stressful; I don’t enjoy it. It makes me not look forward to my day. So I no longer offer social media management to my clients.

So you know what’s coming, pause this video. If there’s anything you hate to do—maybe it’s bookkeeping, maybe it’s blog writing, maybe it’s, I don’t know, travel booking—whatever it is that you don’t enjoy doing or you find stressful, go ahead and cross that off your list. Now, when you’re done crossing that up, hit play, join me in the next step.

Now we’re going to prioritize the remaining skills using your level of expertise, your passion, and the market demand. I know I’m throwing a lot at you. Let’s pretend, for example, that one of your skills you’ve written down is typing. Maybe you’re a really fast typist and you’re really proficient about typing documents quickly.

While that’s super cool that you are great at typing quickly and accurately, and you’d probably kick my butt if we went head to head, this isn’t necessarily an in-demand skill that clients are willing to pay for. And that’s because I don’t think clients necessarily care how fast you can type. So, do go through and if you’ve highlighted anything that you’re like, “Okay, I can do XYZ, but I don’t know that clients would pay for it,” go ahead and cross that out.

On the flip side, maybe you’ve identified that one of your skills is that you can find anybody’s email address anywhere, anytime. Like, if you are FBI-level good at researching and finding people’s contacts, that is a truly crucial skill that people are willing to pay for because that falls under lead generation. If you can find leads for your clients to reach out to, that’s a desirable skill.

Alright, hopefully at the end of this full exercise, you’re left with a handful of skills that you enjoy working on, have some experience in, and hopefully are in demand and clients are willing to pay for. If you’ve gone through this whole list and you’re feeling a little dissatisfied about the brainstorm, I don’t want you to be crushed or let that deflate your momentum.

The thing about the skills assessment is that this is just a first step, an early brainstorm to get your juices flowing. This is your first opportunity to start thinking about things that you enjoy doing, to think about things that maybe you could offer for your business. So if you’re struggling to come up with something or you’re feeling a little dissatisfied, do the exercise again and don’t be so hard on yourself or so critical.

Now, before you can even really start your business, you definitely need to know what services you’re going to offer, as well as what services you absolutely will not be offering. So first things first, pull up your skills assessment, brainstorm that we did together yesterday. I want you to look at the list of skills that you’ve generated and identify the ones that you are particularly good at or passionate about.

Are there any skills on your list that make you excited? Are there any skills that you could talk about for hours without any preparation? When I first did my skills assessment, one of my favorite skills that I highlighted was international travel. I could talk about travel hacking every day, all day. So I knew that corporate travel was something that I wanted to offer my clients as part of my core services.

And thanks to my marketing positioning about being a VA who focused on corporate and luxury travel, I landed a client who I’m still with today, almost six years later. And all I do for them is corporate travel. Pause this video. Your first step is to see if you’ve highlighted anything from your skills assessment that you love to talk about, you’re passionate about, you’re good at, and it gets you jazzed in the morning and you would be jazzed to wake up and work with or on this skill every day.

Now, based on the core skills that you’re workshopping right now, you’ll kind of have a better sense for what type of virtual assistant you are. So, for example, if you’ve identified that you have skills in digital organization, you are great at filing things away, you’re super organized, you have great time management, great scheduling, you might want to consider positioning yourself as a general virtual assistant.

Alternatively, if you’ve identified that you have strong writing skills and you love long-form writing, you might want to consider establishing yourself as a virtual assistant who specializes in blogging or content creation. Your decisions that you make today will also start to inform you about the types of clients you might want to work with. I am of the mindset that every CEO, middle manager, director, etc., etc., can benefit from having a virtual assistant because we are the person that makes all the admin cogs turn in the background.

But also, if you’ve identified that you’re a fantastic writer, that might put you on a completely different trajectory. You might decide to try to market yourself to coaches or entrepreneurs who have a product or a service that they sell because you could be the person that writes their sales marketing material. Also, I just want to reiterate that if you want to start your business as a general virtual assistant who offers administrative duties, that doesn’t mean that you will be a general VA forever.

Over the years, you might find that you naturally gravitate towards a specific niche or you might pick up new specialized skills and decide that you want to take your business in that direction. The beauty of being your own business owner is that nothing is set in stone and you can add or remove services based on your level of interest and/or the skills that clients are willing to pay for. So I want you to just take a breath. If you’re feeling stressed right now, I got you. This is merely meant to help you start to plan out the basics of your business.

So don’t feel like what you commit to today is what you have to commit to for the next 10 years. In the next lecture, we’re going to talk briefly about skills that you are absolutely not going to offer and why it’s so important that you define those too. So, while it’s super important to focus on the skills that you do offer, it is actually equally important to

Now, I’m not gonna lie to you; setting rates is actually one of the most notoriously difficult things to do as a freelancer, and that’s due to a variety of factors that we’re going to talk about today. If you price yourself too high, you run the risk of losing business because you’re so high that clients might think, “Well, I’ll just go ask another virtual assistant.” On the flip side, unfortunately, the reverse is true too; if you price yourself too low, the client still runs the risk of taking their business elsewhere because they might be asking themselves, “Well, why is this VA so much lower than everyone else? What’s wrong?”

So let’s just dig into a couple of these variables, and I want you to keep in your mind as we’re going through today’s video that all of these variables are going to be unique and different to you. So how we’re going to present this today is we’re going to go through different variables to think of. I’m also going to tell you a story about my rates and how they’ve changed over the years, and I’m going to tell you a story about a recent student of mine who lives in Vietnam and how he changed his rates as well.

The lecture also comes with a worksheet to supplement some of what I’m about to tell you on video, so follow along if you’d like. The first step in thinking through your rate is to research industry trends. This part also is very action-oriented, so your action step is to get online, go to websites like Fiverr, go to Google, type in “Virtual assistants,” and look for other VAs who do similar services as you.

So if you, in the past few days, have identified that you are a general VA, look for other administrative assistants online who are also advertising similar calendar, inbox, travel management, etc. If you have identified that you’re a more specialized virtual assistant, find somebody who specializes and also offers similar types of services. Aggregator sites like fiverrq1 are interesting in that you can filter different variables like where people live, the ratings, the amount of years people have, and you can kind of get a sense for what ballpark figure people are charging per hour.

And once you start to get a better idea about what the market trends are, what other virtual assistants in your niche or in your area are charging, you’ll also need to consider your livable wage. What you need to do is take a rough estimate of your expenses that you have every month. These are things like your car insurance, your car note, gas, rent, mortgage, food, child care, health care—whatever it is that you are paying for regularly. I want you to jot it down on the list and make sure you know.

This can be a rough estimate, but just make sure that you have a general number per month that you need to hit. And then what we need to do is ask ourselves, “If I’m charging five dollars an hour and I am working 40 hours a month, does this pay my bills? If I’m charging ten dollars an hour, does this pay my bills? Twenty? Thirty? Forty?” Etc., etc.

Because ultimately, if you are in a city with high expenses—I’m just going to throw out an example, New York City, high expensive city—and you’re a new VA and you’re like, “I think I’m going to price myself at $15 an hour,” and in the first few months, you land one to two clients, let’s say you’re only working or charging 20 hours a month—$15 an hour times 20 hours a month, you’re only making $300 a month. That’s not livable. That’s not even enough to pay for groceries.

So these rates will really help you determine, “Does my hourly rate need to increase to $30, $35, or do I need to find more clients?” I don’t want to scare you with that very low $300 scenario that I just threw out there, so let’s talk about more realistic rates. I’m going to start by telling you a story about myself. I started as a virtual assistant in 2012. I started charging $20 an hour.

That was my starting rate living in the United States. By the end of my first year of business, I was making an annual rate of about $30,000 a year. Now, ten years ago, as a much younger person with cheaper rent, that was okay. It was enough for me to break even, if not make a little bit of profit. So that $20 an hour made sense for me back then. Over the years, however, a lot of things have changed.

My level of expertise in how fast I can get work turned around changed, the world changed within those ten years—inflation went up, my expenses increased, my rent got more expensive. At some point in my career, I bumped all my general virtual assistant services up to $35 an hour. Whatever rate you’re setting for yourself right now, it’s not set in stone. If you come to a rate that you’re like, “Well, okay, I live in America, and my expenses, I split them with a spouse, so maybe I can start at the $25 an hour rate, and we’ll see how that goes,” if that’s working for you and you’re landing clients at that rate, that’s fantastic.

You’re not going to be at that rate forever. Now, I have a second story for you, and this is a student that I coached one-on-one recently who lives in Vietnam. And he came to me with a fantastic set of skills. He was a niche virtual assistant in that he could do video editing and social media management for his clients. So, he was also bilingual. So, he started at $5 an hour with this company years ago, and he realized, rightly so, very quickly that other assistants in America were making more money. And so, he raised his rates to $10 an hour.

And when he came to me, he was trying to raise his rates again, but his American client was giving him a hard time. I suggested to him that if you are working with a client who’s having a hard time meeting you at your rate, rather than giving a discount, especially if you’re coming to the table with a lot of great services, I want you to negotiate. A negotiation is really ultimately just a conversation to find a workable solution where you and your client are happy.

So, I told him, “Hey, if your client isn’t willing to go from $10 to $15 today, what if you suggest a one dollar increase per month over the next five months?” Long story short, the client agreed. So, there are ways that you can negotiate, you can get creative. So, hopefully, this lecture gives you a little bit of thinking with how you can present your rates. Tomorrow is my favorite day, day four, in which we’re talking about clients.

We’re going to discuss the types of people that you want to work with versus the types of people that you don’t want to work with, and of course, we are going to be using your skills assessment and your core offerings page to help us kind of plan out this portion as well. I do not like waking up in the morning and heading right into work, so I purposely keep all of my clients in the same time zone that’s three hours behind me. By working with clients in a different time zone, this gives me enough flexibility to have my mornings completely open and then work a little bit later into the evening.

Now, conversely, you might have young kids at home, or maybe you just want or need to have your evenings free, in which case you might want to target people or businesses that are a few hours ahead of you, meaning you would work earlier in the morning hours and wrap up work early afternoon, which allows you time to spend time with your family or run errands in the afternoon, etc. Something I caution you about, and just as food for thought, is that I do have a good friend who’s a VA who’s based in the UK.

She has American clients, clients in the UK, and clients in Asia. What that means for her is she typically ends up working over 12 hours a day because she is working around the clock to make sure that she is online and answering emails across half of a world of time zones. Personally, that works for her, and she’s very happy with it because she enjoys working. She gets up early, she goes to bed late, she likes it, and for me, that wouldn’t work. I would wither away to dust if I had to work that many hours every day or had to be sure that I was online for lots of different clients.

So, that is something to be mindful of. Now, as you’re filling this sheet out, by the way, I don’t want you to feel like, again, this is set in stone. It’s not. This is a brainstorm, especially when you’re new. It’s important that you have a sense of direction for the types of people that you might want to try to target online, but by no means is this the only thing that you have to follow when you’re starting your business.

So, let’s use that same example about the health and wellness industry. If you’re really passionate about this industry, you’re well-versed in health and wellness, it’s like a passion of yours, you work out all the time. If you think, “Oh, okay, I maybe would like to work with health coaches or nutritionists,” and you start to research these people online and find that, you know what, maybe you either are having a hard time connecting with them or they’re not actually looking for virtual assistants, or you find that, you know what, this is more of a personal hobby, not a work thing, that’s okay.

Again, this is not set in stone. It is simply meant to be a compass, so to speak, to help point you in the right direction. So, do make sure that you’re taking some time to fill this sheet out today just so that we can use it for the next sections. Where do your clients hang out? I love this question because again, all the answers will be unique to you. But if you’ve done all the action items thus far, and let’s say, for example, you’ve identified that you want to work with a CEO at a tech startup in San Francisco.

You’re like, “You know what? I love that startups are new every day and it’s chaos, and I want to work with a small company, maybe one to two people, and I want a young, go-get-’em CEO.” Where might this person, this imaginary person, spend their time online? I can tell you that they’re probably not spending their free time on Snapchat or Instagram or Facebook. They might, however, spend their free time posting on LinkedIn. And that’s because LinkedIn tends to cater to business owners.

So, it would make sense that a startup CEO is sharing key takeaways on LinkedIn or networking with other people on LinkedIn or raising money on LinkedIn. Conversely, if you have identified that you really want to be a virtual assistant to freelance writers, where might a freelance writer hang out online? They’re probably not on Snapchat. They’re probably not on TikTok. But they might be hanging out and spending their free time on Twitter. That’s because a lot of writers have a big community on Twitter.

There are things like Twitter chats for writers, specifically especially freelance writers, where they’re tweeting their thoughts on the industry and where they can find work. So, that might be a place where you start to search for these people. Now, what if you identified that you actually want to work with companies who sell physical products? Maybe you’re like, “I am totally an e-commerce virtual assistant, and I want to help people sell things.”

Now, these clients probably are hanging out on platforms like Instagram, like TikTok, because they sell a very visual product. They’re probably doing direct-to-consumer sales through things like Instagram. And so, you might want to be on Instagram. My point is, as you start to think about the types of people that you’re interested in working with, you need to know where to connect with those people, where they spend most of their free time.

Because if you decide to specialize in corporate travel and you’re posting really pretty pictures with airplanes on Instagram, there’s a huge mismatch there. And that’s because the chances that the corporate traveler who is usually the CEO or a president of a company, they’re probably not spending a lot of time on Instagram. But if you instead talk about your travel services on LinkedIn, and you’re using hashtags about CEOs, CEO life, corporate life, corporate travel, you have a much better chance of connecting with the CEO who wants to offload booking.

Essentially, what you’d be doing is you would be generating leads or prospects for your clients through social media. So let’s take an example to make it super easy. Let’s say you work with a client who sells online courses, and what they need is to get in touch with more people who fit their ideal customer avatar to make them aware of this offering or sometimes to make them aware of a Facebook group where they could learn more about this or of an Instagram account where they could learn more about this.

So what they would do is they would give you the details, the demographics of their ideal customer avatar. So they’ll tell you they have to be between this and this age groups, or they have to be of this gender or live in this country or in this region. They’d have to have this education or they’d have to have this interest and so forth. So they’ll give you the details of the kind of people they want to engage with. And then what you would need to do is understand that ideal customer avatar. You would need to engage with people through social media.

And this kind of topics. I need to do my own SEO work and research and optimization so that my videos show up in search. And like me, pretty much, you know, all creators out there. And no matter if they use YouTube as their main platform or other platforms and SEO, if you’ve been on my channel before, is one that I’ve talked about because I really believe this is the future. And it’s really easy because what you would need to do is understand the topics that the channel you’re working with wants to cover and show up in search for, and then do the research through tools like IQ or to body, which are mainly specialized in YouTube. If not every day, probably every other day, because they’re always looking for something they’d be asking you, can you research for me examples of partners that I could work with in this space, or examples of other companies offering similar services with me in that country, or examples of similar products that my clients, my ideal customer avatar is interested in and so forth? And the idea ultimately is that not only do you understand the need for what you have to search, but also how the output of your work would be used by your client so that whatever you give them is actually useful, valuable, and that can be used to take action.
